Each agent can set up a total of 400 auto emails. For example, if the agent has 400 contacts, each
contact can have 1 auto-email. If the agent has 200 contacts, each contact can have 2 auto emails.
Each auto email can send up to 500 listings to the Client Portal.
- Run a property search for your contact.
- At the bottom of the search results screen, click Save. Then click New Auto Email.
- Click the link to Create a New Contact OR select an existing contact from the Contact drop down
menu. Fill in the yellow highlighted fields on the personal information screen (up to 5 email addresses separated by commas), then click Save. Complete the rest of the fields in the window below.
4. [OPTIONAL] Enable Concierge Mode so that you can review matching listings before they are sent
to your client. When Matrix advises you that there are listings to review, decide which listings to
approve and which ones to reject.
Check the Enable concierge mode box (see figure 1). You will be automatically alerted of listings
awaiting your approval via an Alert! Message (see figure 2) across the top of most of the Matrix
screens, and also within the Concierge widget (see figure 3) on the homepage. However, if you wish
to also be notified via email, check the box labeled Also send me the alert notifications by email
(see figure 1).

[Note: By enabling concierge mode, you will not need to specify a frequency for when auto notes will be sent out since the listings will only be sent once you approve them.]
When done, click Save; Go to Approvals at the bottom of the screen. Using the buttons at the bottom of the Approvals screen, select the listings you wish to approve and send OR reject for this initial email. When you are finished, click Done.
SKIP STEP 5 IF YOU COMPLETED STEP 4.
5. Click Save at the bottom of the New Auto Email Setup window. Matrix will automatically email this initial batch of listings to your client. The client must open the initial welcome email, then Matrix will continue to automatically email new listings AND listings that have changed in status or price to your contact.
Note: If the client does not receive the email, check that you have their correct email address then ask them to check other folders (ie: spam folder, junk folder, bulk folder, etc.).
