Listing Supplements – Types and Definitions

What Are Listing Supplements?

Listing supplements are additional documents attached to a property listing in Matrix. These documents provide buyers, buyer's agents, and the public with important disclosures and property-specific information beyond what is entered in the standard listing fields. Some supplements are required by law or MLS rules, while others are optional but commonly included.

RPD – Residential Property Disclosure

The Residential Property Disclosure (RPD) is a state-mandated form in Ohio that requires sellers to disclose known material defects and conditions affecting the property. It is required for most residential real estate transactions.

The RPD covers a wide range of property conditions, including:

  • Roof condition and known leaks
  • Foundation or structural issues
  • Basement or crawl space water intrusion
  • Heating, cooling, plumbing, and electrical systems
  • Presence of hazardous materials (e.g., asbestos, radon, lead paint)
  • Prior flooding or drainage problems
  • Known legal issues or disputes affecting the property

Sellers must complete the RPD honestly and to the best of their knowledge. Failure to disclose known defects can result in legal liability. In Matrix, the RPD is uploaded as a supplement to the listing so it is accessible to cooperating agents and buyers.

Lead-Based Paint Disclosure

Federal law (42 U.S.C. § 4852d) requires sellers and landlords of housing built before 1978 to disclose known information about lead-based paint and lead-based paint hazards. This requirement applies to most residential properties constructed prior to that year.

The Lead-Based Paint Disclosure includes:

  • Any known lead-based paint or hazards in the home
  • Any available records or reports related to lead paint
  • A federally approved pamphlet: Protect Your Family from Lead in Your Home

Buyers must be given a 10-day period (unless waived) to conduct a lead paint inspection or risk assessment. This disclosure is separate from the RPD and is required by federal—not just state—law. It must be uploaded as a supplement for any pre-1978 listing.

Other Common Listing Supplements

Home Warranty Information

If the seller is offering a home warranty, the details or a brochure from the warranty company may be uploaded as a supplement. This helps buyers understand what is covered during and after the transaction.

HOA Documents

For properties within a homeowners association, sellers may upload relevant HOA documents such as bylaws, rules and regulations, fee schedules, meeting minutes, or budget information. In some cases, providing HOA documents is required by the purchase agreement or state law.

Well and/or Septic Disclosure

Properties with private well water or septic systems may require additional disclosures or inspection reports. These documents inform buyers about the type, age, condition, and maintenance history of these systems.

Flood Zone Information

If a property is located in a designated flood zone, agents may upload FEMA flood maps, flood zone determination letters, or elevation certificates. This information is important for buyers who may be required to carry flood insurance.

Survey

A property survey shows the legal boundaries, easements, and encroachments on a parcel of land. Sellers who have a recent survey may upload it so buyers and their agents can review the property boundaries before closing.

Seller's Disclosure Addendum

In addition to the standard RPD, sellers may upload a supplemental disclosure addendum to provide additional details about specific repairs, renovations, or known issues not fully covered in the main disclosure form.

Floor Plan or Plat Map

Some listings include a floor plan or plat map to give buyers a visual layout of the property. These are particularly useful for larger homes, commercial-use properties, or lots with unusual configurations.

Condominium Disclosure Documents

For condominium sales, Ohio law may require the seller to provide a resale certificate or other condo-specific disclosures. These documents typically include information about association finances, pending assessments, insurance coverage, and unit ownership details.
