If you received an email from listingdatachecker@cotality.com with the subject line "Courtesy Expiration Date Reminder," your listing is due to expire within the next 7 days. This is an automated notice — not a fine or violation — giving you time to take action before the deadline.
What the email is telling you
MLS Now rules require that any listing extension or renewal must be authorized by the seller before the listing's expiration date. This email is your advance warning that the deadline is approaching.
What you need to do
- Contact your seller and obtain written authorization to extend or renew the listing term.
- Update the expiration date in Matrix before the current expiration date passes.
- Keep the signed seller authorization on file — it may be requested during an audit.
What happens if you miss the deadline
If your listing expires without being renewed before the expiration date, it will be automatically removed from the active status. You will need to obtain a new listing agreement and file as a brand new listing.
If you think the email was sent in error
Simply reply directly to the email from listingdatachecker@cotality.com or contact MLS Now support if you believe the expiration date on your listing is incorrect.
Relevant rule
MLS Now Rules, Section 2.18 – Listings To Expire: A listing that is due to expire shall be renewed only upon receipt by the MLS of a listing extension form signed by the seller. The renewal must be received by MLS Now prior to the listing's expiration date. If the listing is not renewed prior to expiration, a new listing agreement will be required and the listing will be treated as a new listing for purposes of DOM and CDOM.
